Assistant to Senior Executives & Investment Team

The right candidate will be someone who is a great team player, highly organized and able to manage multiple tasks. A bright assistant, fluent in German/English, with outstanding people skills, who is used to navigate in a dynamic environment.
Your responsibilities The objective of this role is to support your executives around the business, to keep them moving, clients happy, and targets met. You work predominantly, but not exclusively with the Senior Executives, reporting into the Office Manager, who will be in charge of the overall coordination. Your responsibilities include full-scale diary management, organizing travel across different time zones including detailed itineraries (an ever-changing agenda won’t faze you). Moreover, you plan meetings, calls, and conferences, ensuring that all activities run smoothly. Likewise, you provide administrative assistance on projects, pro-actively flagging potential obstacles and prepare presentations to help secure new business transactions. Besides researching information, compiling spreadsheets reports and managing expense accounts, it is essential that you continuously keep aware of the big picture. You enjoy carrying out ad-hoc tasks as much as you handle occasional non-work elements. Not least, you ensure that your managers are well represented by providing a positive customer experience to all stakeholders. In doing so, you work closely with your fellow assistants ensuring positive relationships for all.
Key requirements First and foremost, you are fun to work with. You have a positive can-do attitude always willing to turn your hand to whatever needs doing. You think on your feet, work in an agile manner and whether the task is big or little – you are driven by helping to achieve the set goals. What else is requested?
a commercial apprenticeship and/or a foreign language secretary or management assistant degree
your CV reflects experience in a similar role, e.g., Financial Services, Investment Banking or any fast-moving environment; we would also welcome someone with a background in a 5* hotel industry with a degree from a superior hotel management school
fluent in German (C2) and English (C1); great communicator and collaborator
experienced and confident with MS-Office and all modern technology devices; digitally savvy
a desire to achieve a high standard of quality with any given task
Desired personal qualities and skills You should have a self-starter mentality, troubleshooting skills and be known as a great team player with a high service orientation. You are 100% reliable and stress resistant. An open-minded, proactive person with drive and energy, motivated by working for a small team and becoming a vital player. Since there are duties that cannot be predicted, it is indispensable that you are highly flexible with a good common sense. In addition, you are a good timekeeper, meticulous about keeping promises and meeting deadlines. You are used to working independently, applying your excellent time management skills and tackle any changes made on short notice with a positive approach. Likewise, you have a talent for handling competing priorities with excellent follow-through skills.
