Working for a multinational company based in Zug, you will be the trusted Executive Assistant to the Group’s CEO and the lead to the assistant’s team. The position provides a flexible hybrid schedule requiring sound judgment in deciding when in-office presence is needed to maintain seamless support.
Executive Assistant to the Group CEO
Working closely with the CEO, you keep him well informed of upcoming commitments, following up appropriately. This facilitative role requires a combination of focus and flexibility. A key requirement is to handle executive-level interactions while fostering best practices and providing guidance to other assistants. You filter out the noise and understand the intricacies of the business. Since the CEO travels often, you make sure that all meetings are seamlessly executed. In simple terms, your contribution enables him to work most effectively to fulfill his executive mandate.
Your responsibilities include but are not limited to
Managing an active calendar, ensuring that all appointments are scheduled by following the priorities of the business, arranging complex travel, preparing correspondence and compiling documents for meetings, and creating win-win situations for direct access to the CEO’s time and office.
Facilitating executive committee-/board meetings and off-site events with a clear understanding of the agenda.
Prioritizing conflicting needs and following up on concerns addressed to the CEO, including those of a sensitive or confidential nature. Determining an appropriate course of action, referral, or response.
Coordinating external relations efforts while acting as a «barometer» sensitive to the issues taking place in the environment and keeping the CEO updated.
Producing deliverables including completing tasks that facilitate the CEO’s ability to lead the company.
Maintaining all CEO files in a manner that allows documents to be accessed and retrieved efficiently, while always ensuring absolute data confidentiality.
Providing a bridge for smooth communication between the CEO and stakeholders, and demonstrating leadership to maintain credibility, trust, and support.
Organizing assistant team meetings pulling everybody together and facilitating a great collaborative team environment by leading by example.
There will be a small amount of private support to save the CEO’s time to fully concentrate on the business.

The CEO is seeking a confident, dynamic professional who can seamlessly blend direct communication, vibrant energy, and a professional demeanor while respecting appropriate boundaries. We are confident that a strong personal fit will be evident if you are an open-minded individual with charisma and self-discipline. A critical aspect of this involved function is a deep respect for confidentiality. The CEO is a fairly relaxed, straightforward leader who is pleasant to work with. While he is generally not demanding, he does expect his EA to discern when to go the extra mile. Experience within a global organization is essential, as is a proactive «can-do» mentality.
Education, skills & abilities To be a successful candidate, a High School Diploma and a commercial apprenticeship is required. You will need to have a minimum of five years of experience supporting C-Level executives in a corporate environment. German and English are either mother tongue or at level C2. Additional language skills are a plus. Candidates without these prerequisites, unfortunately, cannot be shortlisted. What else is requested?
