This is a position for a highly motivated and committed Executive Assistant with outstanding organizational and people skills, who enjoys working with diverse cultures. The assistant will serve as liaison between the Leader, other offices across EMEA and the global management.
While passionate about performing administrative duties, you provide comprehensive executive support to one of the key members of the corporation. The position is based in Zurich, however, willingness to travel periodically is requested. De facto no two days will be the same. Main tasks consist of full-scale diary management including personal engagements, organizing travel across different time zones, planning international meetings, calls, video conferences and dinners – ensuring that all activities run smoothly and full back office support is guaranteed. In turn, this requires the willingness to get the work done while commuting or when you are on the move. Likewise, you screen incoming e-mails and calls and follow-up on them as appropriate. Aside from taking care of general correspondence, collecting and researching information, compiling spreadsheets reports and expenses, it is important to stay abreast of the big picture and have a good knowledge of ongoing projects. You find it equally interesting to organize and support off-site meetings including catering and facilities. You also enjoy assisting on ad-hoc tasks and projects, including non-work-related elements. Not least, you ensure that your executive is well represented by providing a positive customer experience to all stakeholders. As the role is fast-paced and requires someone, who is easily adapts and has the desire to achieve a high standard of quality with any given task.
To be a considered an interesting candidate, a Business College, Bachelor Degree in business administration or a commercial apprenticeship is required. We also welcome someone with a background in the hotel- or hospitality industry. Mandatory is that your CV reflects C-level assistance in an international corporate environment. What else is requested? An open-minded, positive, proactive, and worldly personality. Someone who is able to partner with other EA’s throughout the organization perfectly blends in. Since there are a lot of duties that cannot be planned or predicted, it is indispensable that you are 100% flexible with a good common sense, always anticipating what is required next. The mandatory language is English (ideally mother tongue). Candidates who also bring along German would be preferred. Any other European language is a plus. Strong IT skills (MS-Office) including knowledge of internet and multimedia devices are essential. You are used to working independently, applying your excellent time management skills and tackling short-notice changes with a solution oriented mindset. Likewise, you have a talent for handling competing priorities with good follow-through skills and attention to detail. You perfectly fit if you enjoy to be challenged, are fun to work and have a positive-can do attitude.
