Executive Assistant to Senior Management

The role will be diverse, so we need someone who is flexible and able to wear many hats, adapting to the task at hand. Directly reporting to the CFO, you will also be the first port of call in the team. The senior management is in constant contact with major business leaders and this requires the confidence to deal with top-level executives. In addition to general office and admin duties you also understand the unspoken needs. Key aspects of the position include booking international travel arrangements, organizing meetings and conference calls with clients, board members, and stakeholders. Moreover, you will be drafting correspondence and reviewing work done by others to check for correct spelling and grammar. Planning events with a special touch and liaising with external contacts as well as assisting with personal errands and tasks will also be part of your daily routine. Given the nature of an international office, you will also need to be able to manage the workload and handle competing priorities as a self-starter. The successful candidate will be navigating with ease in a dynamic environment, being resourceful and solution-oriented, reacting with situational appropriateness. To succeed, you have a passion for providing premium admin support – to the company, the executives and the team. Whether the task is big or small, you are driven by helping to achieve the set goals. In simple terms: You understand your commitment as mission critical.
Minimum 4 years experience in a similar role; ideally acquired in an international consultancy/ investment firm/hospitality industry with solid knowledge of standard office principles and procedures
Fluency in written and spoken English, proficiency in German; any other language is a plus
Professional in MS-Office-Programs and mobile devices
You love to organize, plan and coordinate and you thrive on problem-solving applying good common sense
Focused and distinct attention to detail
Excellent communication skills, reflecting the executive’s values, philosophy, and style combined with sound intercultural, interpersonal skills
Exceptional customer service focus
Possess a confident, proactive and efficient nature
