Executive Assistant to Vice President Sales 50%-60% (6 months; potential extension of contract )
driven, pro-active and experienced in a multinational context
The working time shall ideally be distributed over 4 days/week. Our client is open to creative ways to develop an ideal working time model, allocating several working hours per day.
Scheduling and booking regular and ad hoc meetings, calls, videoconferences, travel, accommodation, events and dinners
Complete all core administrative processes eg supporting executive with local HR and Finance administration, filing travel expense reimbursement requests and handling correspondence
Maintaining and sharing common work files, email distribution lists, as well as team contacts and office information
Managing external vendors / suppliers as required
Assisting in the production of meeting agenda, minutes and action logs and visual presentation materials as required
Organizing international meetings and supporting visiting executives from other locations as required
Work closely with other EA's in Europe to ensure EU Leadership Team alignment on all calendar and logistics issues
Ensure positive relationships with other EA's in Europe and USA
Supporting with other duties and tasks as may be required
Ensuring that the VP is well represented through providing a positive customer experience to all stakeholders
Previous experience as an Administrative / Executive Assistant to a senior executive in a multinational context
Experience in a US multinational environment would be advantageous
Very high degree of competence in all aspects of PC skills including total proficiency with MS Office applications/Outlook
Native or highly fluent in English, German/Swiss German essential. Other European languages an advantage
Passion for the internet
Ability to provide a great service to senior executives - professional, calm & discreet
Structured and organised with exceptional verbal and written communication skills.
Flexible in style and personal circumstance, willing to adapt to change, often at short notice
Service minded, and strive for excellence
Excellent interpersonal skills. Able to work with a variety of different styles and adapt accordingly
Able to maintain confidentiality and discretion
Proactive and self-motivated - Able to work independently with minimum supervision but also a team player

Able to travel occasionally to support off-site team meetings or events.
