The role primarily supports the Principal/Chair in his multifaceted business activities, such as being a board member of global corporations, as well as having further responsibilities within the family holding company and other organizations. You should be comfortable in a standalone role while maintaining frequent contact with investors, C-suite, and entrepreneurs in a high-output environment. This is a newly created full-time position based in Zurich. A hybrid work model is in place.
Executive Assistant to Principal & Investor
How will you make an impact in this role? As the primary liaison with stakeholders across multiple investments, you will manage professional and personal schedules and tasks, oversee operations, and be fully engaged from beginning to end. You will be required to grasp the complexity of all business activities while smoothly coordinating and communicating with investee companies, board members, and corporate executives. You also feel comfortable in the entrepreneurial startup scene, moving with ease between the two worlds. By providing stellar support to the Principal and a Partner of the firm, you will quickly become a trusted assistant. Main duties will include but are not limited to
All aspects of calendar management, anticipating scheduling conflicts and working to resolve issues.
Organizing meetings, locations, participants, and associated travel while striving to anticipate needs.
Providing business support, managing correspondence, and taking appropriate actions while prioritizing workflow for the business activities, driving efficiency, and allocating and saving the executives’ time.
Delivering key meetings on time, following up on projects, overseeing investor events, working with investee companies, and supporting co-investor and angel presentations.
Organization of board meetings, aligning the agenda, following up, and circulating reports; serving as the quality gate for and maintaining investment documentation, board resolutions, and reports.
Assistance with personal property and family administrative matters.
Liaising with and managing outsourced business partners.
Supporting preparatory accounting tasks and invoices, etc.
Completing personal and business projects, e.g, implementing structures to get things running.
Required qualifications, capabilities and skills You have an all-hands-on-deck mentality - unfazed by challenges, and you can face tough moments head-on. You thrive under a leadership and communication style that is simple, fast, direct, and informal. More requirements include
Commercial apprenticeship, or a degree in business administration, or any further training, e.g., MAS Digital Office Management or similar.
Around six years' experience within an EA/PA role in a fast-paced environment (Family Office, Private Equity, Venture Capital, or similar set-up beneficial).
A self-starter with strong EQ who can work unsupervised while maintaining a professional spirit and great energy.
Top-notch organizational and time management skills; ability to manage conflicting deadlines by applying a structured, thorough, and upbeat approach to work.
Able to efficiently summarize complex information and communicate effectively across multiple channels (WhatsApp, in-person and virtual meetings, and emails); easily switches from one channel to another.
Fluent in spoken and written English; advanced/proficient German language skills (C1/C2).
Proficiency in MS Office, collaboration platforms (Zoom, Teams), and other business productivity software.
Uses discretion when working with sensitive and confidential financial information.
Confident demeanor combined with high reliability, dedication, and commitment.
