Senior Administrative Assistant (m/f) Office of a Executive Committee Member
The office will be managed by two assistants. Tasks and responsibilities comprise the proactive management of the complex diary and complex travel management, in addition to some general office management and ad hoc admin duties. Key aspects of the role include but are not limited to booking international travel arrangements, organizing meetings internally, with board members or partners, and conference calls. Drafting correspondence, filtering emails and liaising with key clients on an international level as well as meeting and greeting visitors and assisting with personal errands and tasks will also be part of your daily routine. Given the nature of a global office you will also need to be able to manage the workload and be a self-starter, since your superior is travelling most of her time. In the absence of your fellow assistant, who will occasionally accompany the executive around the globe, you make sure that all meetings and arrangements are perfectly prepared. Your superior works fast pace and will expect you to keep up. Not at least, you take personal pride in representing the office in a friendly, competent way. In a nutshell: You contribute with your expertise and always act and communicate on a professional level.
To succeed in this role
Previous PA experience for a senior manager and excellent diary management skills with a polished manner are a must
Proficiency in MS-Office and exceptional attention to detail are vital
You have excellent spoken and written communication skills
Your English is fluent and you also speak German
You remain calm under pressure
You are able to coordinate your time to handle competing priorities effectively
Along with your high level of support and the ability to anticipate your superior’s needs, you will have a diplomatic nature and the ability to handle confidential information
You love to organize, to plan and to coordinate and not at least you thrive on problem solving
You possess an uncomplicated, hands-on personality and you are a true team player
