Senior Executive Assistant to the CEO
The role will see the successful candidate navigating with ease in a complex world – being resourceful and solution-oriented, responding to subtle cues and reacting with situational appropriateness. You will proactively be managing the complex diary and extensive travel management of the CEO, in addition to general office management and admin duties. As a “second brain” you understand the unspoken needs. This goes hand in hand with filtering information and emails and considering the CEOs preferences. Key aspects of the role include but are not limited to booking international travel arrangements, organizing meetings and conference calls with other executives, board members or partners. Drafting correspondence and liaising with key clients as well as assisting with personal errands and tasks will also be part of your daily routine.
Given the nature of a global office, you will also need to be able to manage the workload and be a self-starter. Since the CEO is travelling most of his time a maximum of flexibility is also expected at your end. You must be willing to accompany him around the globe to make sure that all meetings and arrangements are perfectly executed. The CEO works fast pace and will expect you to keep up. To succeed in this role, you have a passion for providing premium admin support – to the company, the executive, and the team. Whether the task is big or little, you are driven by helping to achieve the set goals. In simple terms: You understand your commitment to be a mission critical.
A must criteria: several years (8-10) PA experience at C-level (CEO / Board of Directors) and excellent diary management skills. You have demonstrated in the past that you can master a CEO’s complex agenda
You have great communication skills, reflecting the executive’s values, philosophy, and style. English is either your mother tongue or at level C2. German language skills are expected of similar quality
Proficiency in MS-Office and exceptional attention to detail are vital
You would remain calm under pressure and be able to coordinate your time to handle competing priorities effectively
You love to organize, to plan and to coordinate and not at least you thrive on problem-solving
You are loyal with a diplomatic nature and you respect confidentiality
Not at least you will bring positive energy to the company
